1. Who we are

TalentSuite is provided by BRAMKAS. This policy describes how we collect, use, and protect information when you use our applicant tracking and recruitment platform.

2. Data we collect

We collect account and profile information (e.g. email, name) for users who sign in; candidate and job data that you upload or create; and usage data necessary to operate and secure the Service. We may use cookies and similar technologies for authentication and preferences.

Candidate records may include resumes, assessment responses, interview feedback, communication history, submission notes, and other recruiting-related information that your organization chooses to store in the Service.

3. How we use data

We use your data to provide, maintain, and improve TalentSuite; to run AI-assisted features (e.g. resume parsing and scoring) within your tenant; and to comply with legal obligations. We do not sell your data or use it to train third-party AI models.

AI-assisted processing is used to help organize candidate information, summarize resumes, evaluate role fit, and support recruiter workflows. These outputs are provided as assistance only and should be reviewed by your team before being used in hiring decisions.

4. Data isolation

Your organization’s data is stored in an isolated tenant space. It is not shared with other customers. Resume and candidate content processed by AI (e.g. Google Gemini) is used only to generate summaries and scores for your account and is not retained by the AI provider for training on your data beyond the scope of the request.

Access to records is also controlled through account roles, permissions, and scoped sharing links so administrators can limit who can view recruiting information.

5. Security and retention

We implement appropriate technical and organizational measures to protect your data. Data is retained as long as your account is active and as required by law. You may request deletion of your data subject to applicable retention requirements.

Security controls may include authenticated access, role-based restrictions, audit logs, and secure storage providers used to operate the platform. Retention needs can vary based on your organization's policies, ongoing recruiting activity, and legal obligations.

6. SMS and voice communications

TalentSuite may send SMS text messages and make voice calls to candidates on behalf of your recruiting organization. These communications are used for interview scheduling, application status updates, availability requests, and recruiter follow-ups.

Consent: Candidates consent to receive SMS and voice communications when they submit their resume or application through the platform, or when verbal consent is obtained by a recruiter during a phone screening. Consent is recorded in the candidate's profile.

Frequency: Message frequency varies based on active job applications and recruiting activity. Message and data rates may apply.

Opt-out: Candidates may opt out of SMS at any time by replying STOP to any message. Reply HELP for assistance. Opting out of SMS does not affect other communications (email, phone).

Data handling: Phone numbers are stored within your organization's isolated tenant. We do not share, sell, or use candidate phone numbers for marketing purposes. SMS and call logs are retained in your account for audit and communication history purposes.

Service provider: SMS and voice services are delivered through Twilio, a third-party communications platform. Twilio processes message delivery and call routing on our behalf under their own privacy and security standards.

7. Cookies, integrations, and service providers

We use service providers and infrastructure partners that help us deliver authentication, database storage, file storage, email, AI-assisted features, and edge delivery. Cookies or similar technologies may be used to maintain sessions, remember preferences, and support secure sign-in flows.

8. Your rights and organization responsibilities

Depending on your jurisdiction, you may have rights to access, correct, delete, or port your data, or to object to or restrict certain processing. Contact us or your account administrator to exercise these rights.

If you are using TalentSuite on behalf of an employer or recruiting organization, that organization is generally responsible for ensuring it has an appropriate legal basis to collect, upload, review, and share candidate information in the Service.
